Playnow is an app for Root communities that helps members find people to play games with. This notice explains what information Playnow uses, why it uses it, who can see it, how long it's kept, and how you can delete it.
Playnow is run by Bit ("we" or "us"). Playnow is an independent app. It isn't made or run by Root.
What we collect
When you use Playnow, we store:
- Your Root user ID and your display name in the community.
- The parties you create or join. This includes the game, queue or mode, rank or rating range, roles, region, platforms, language, play style, mic preference, description, session details, who has joined, ready status, and when the party expires.
- Your alert settings: whether alerts are on, the filters you picked, and whether you've marked yourself as available.
- Short delivery records so we don't send you the same notification twice.
- If a host removes you from a party, a note that you were removed, so you can't rejoin that party.
Earlier versions of Playnow let you request a new game from inside the app. Those requests saved the game name and your user ID so the same person couldn't request a game twice. Request totals were shown without saying who asked. Game requests now go through Playnow support on Root, and anything you post there is a normal Root message.
Everything you enter is your own choice. Playnow doesn't connect to your game accounts, doesn't look at what games you're running, and doesn't check your rank, region, platform, or identity. Please don't put passwords, access codes, or personal details in party descriptions or session details.
How we use it
We only use this information to run Playnow: showing parties, letting you join and leave, running ready checks, keeping parties to the right size, closing old parties, and sending notifications through Root. If you're in a party, you'll get updates about it, like someone joining, a ready check, or being removed. Alerts about new matching parties are only sent if you turn them on.
We don't show ads. We don't use analytics or tracking tools. We don't sell your information or share it with anyone else. We don't use it to train AI models.
Who can see it
- Other members of your community who can open Playnow can see party info: the game settings, title, description, the display names of people in the party, and who is ready. Your Root user ID is part of the data the app sends to their device, even though it isn't shown on screen.
- Session details (like lobby codes or plans) are only shown to people in that party.
- The community owner and Playnow moderators (the roles and members picked under "Who can moderate Playnow" in Playnow's app settings in Root) can open Playnow's Settings tab. It shows which games are open for parties, whether party channels are working, and how much database room Playnow uses. It doesn't show anyone's alert settings or session details.
- Root hosts Playnow and its database. Each community gets its own separate copy. Root's Privacy Policy covers how Root handles hosting and backups.
- Party channels: when a party opens, Playnow creates a channel for it in your community, named with the game's short name and a random code (for example "FN-3F9A"). If the party requires a mic, it's a voice channel that anyone in the community can see but only party members can talk in. Otherwise it's a text channel that only party members can see. Playnow removes your access when you leave or are removed. It deletes the channel when the party is cancelled or expires, when the host ends the session, or after the session: a voice channel 10 minutes after everyone has left it (6 hours at most), a text channel 2 hours after the session starts. If someone outside the party joins its voice channel, Playnow removes them from voice. Messages in a party's text channel are Root messages and are deleted with the channel.
Playnow data isn't end-to-end encrypted.
How long we keep it
- Closed parties are deleted 14 days after their last change.
- Notification delivery records are deleted after 24 hours.
- Removal notes are deleted along with the party.
- Availability is cleared when it runs out. Your alert settings stay until you change them or delete your data.
- Game requests from older versions are deleted after 180 days.
Cleanup happens while Playnow is running, at least once an hour. If it's paused, cleanup picks up again when it restarts. Deleted data is overwritten in the database file, not just marked as free space.
Root gives each community's Playnow database 500 MB. Playnow stays under 490 MB. If it gets that full, old data may be removed early, before the times above: first delivered and failed notification records, then the oldest closed parties, then the oldest game requests. Active parties and your alert settings aren't removed this way. Moderators can see the current size on the Settings tab.
If a community removes Playnow, Root deletes that community's Playnow data. Root's own backups follow Root's policies.
Deleting your data
You can tap Delete my data in Playnow at any time. It will:
- Remove your alert settings, game requests, party memberships, and any notes that you were removed from a party.
- Cancel any active party you're hosting.
- Remove pending alerts meant for you, and alerts about parties you hosted.
- In parties you hosted, replace your name, the title, description, session details, and game settings with "removed". A bare record with basic settings and dates stays until it's cleaned up 14 days later.
- Remove your Root user ID from Playnow's database. If you were in a party with a channel, Playnow keeps the ID only until it has taken away your access to that channel, then removes it in the next hourly cleanup.
It doesn't delete other people's data, it can't take back alerts that were already delivered, and it doesn't delete messages you posted in the Playnow support space on Root.
You can also ask us in Playnow support on Root for a copy of your data, to fix something, or to have it deleted.
